Terms and Conditions

Subject to the French law of 13th July 1992 (decrees published in official journal of 14th June 1994) regulating the sale of holidays 

The purchase of Nature Occitane trips and accommodation leads to full acceptance of our terms and conditions (as set out below) which are deemed to have been read and accepted. 

To book, simply complete and sign the booking form and return it with the 30% deposit. Your holiday will be reserved once we receive the deposit.  

 - Booking more than 30 days from the date of departure: a 30% deposit is payable at the time of booking. The remaining balance is due 30 days before the departure date, at the latest, without any reminder from us.

 - Booking less than 30 days from the date of departure: payment of the full balance is necessary at the time of booking.

Do not hesitate to contact us to check availability. We reserve the right to refuse bookings once the maximum number of participants for any given holiday is reached.  

Prices are shown in euros, all taxes included. This price includes all of the services as described in your trip itinerary, from the meeting point at the start, to the departure point at the end.  

Usually, prices do not include (unless your journey’s description states otherwise): 

- Train tickets and flights

- Cancellation and repatriation insurance

- Airport taxes

- Personal expenses

- Drinks

- Wine during meals

- Any service not mentioned in your journey’s description 

Any request for cancellation or change must be sent by registered post with proof of reception. 

 - More than 30 days before the departure date: 50€ per person to cover the administration fees

 - 30 to 15 days before the departure date: 50 % of the total price

 - 14 to 8 days before the departure date: 75 % of the total price

 - Within 8 days of departure and after the date of departure = 100% of the total price  

A non-refundable sum of 50 € (administration fees), will be due, regardless of the cancellation date. This fee is separate from the cancellation fees which will be reimbursed through your insurance providing your cancellation is justified and you have taken out the appropriate cover. Travel insurance only becomes effective 30 days before departure. This is why the administration fees are not refundable, nor the cost of the insurance. In case of a « justified cancellation », you will need to approach your insurance provider regarding reimbursement of travel costs.   

If one of the participants is not able to come, you can submit another participant fulfilling the same conditions, provided we have not yet booked services in your name. You should let us know between 7 and 15 days before departure by registered post with proof of reception. 

If you are not at the meeting point at the start of the trip, on the day and time mentioned in its road book (or daily sheets), or if you decide for whatever reason, to leave during the course of the trip, you will not be entitled to claim any refund or reimbursement from Nature Occitane. If you arrive late at the arranged meeting point, any travel costs incurred to reach the holiday location are non-reimbursable by Nature Occitane.

In the case of accident or illness during your holiday, necessitating its interruption, your personal insurance should cover you (subject to medical examination). You will not be entitled to claim any refund or reimbursement from Nature Occitane.  

The guide reserves the right to refuse the participation of any person not having the required physical fitness or correct basic equipment as described in the ‘What to Bring’ list attached to the holiday description, (as sent to the client), without any reimbursement due from Nature Occitane. Not respecting the given security advice may lead to the exclusion of participants from the activity concerned, without this giving rise to any claim for reimbursement from Nature Occitane.   

The proposed guided holidays need a minimum number of participants. We may be forced to cancel certain departures if bookings do not reach this required minimum. Should this be the case, you will be notified no later than 21 days before the departure date.  An alternative trip will be proposed to you. If this does not suit you, then we will reimburse in full all monies paid to Nature Occitane, without that giving the right to claim any damages. In the case of an outright cancellation of a trip, with no available alternative, we will reimburse in full all monies paid to Nature Occitane, without that giving the right to claim any damages. 

A change to the Tour means any change made after the Contract has been signed, relating in particular to the number of persons, the services booked...

A Modification is not a cancellation. The Customer may request one or more Modifications, each of which involves administrative and/or booking interventions by Nature Occitane.

In return, Nature Occitane invoices for each Modification and for each person concerned a fee of € 35.00.

Likewise, the Customer is informed that any Modification may result in additional costs (per Modification and per person) invoiced by the service providers used by Nature Occitane.

As required by French law, Nature Occitane is covered by an insurance guaranteeing its professional liability. Each participant has to be insured regarding personal civil liability. For your own protection, it is also essential (and a condition of booking) to have a ‘multi-risk’ travel insurance which covers cancellation fees, assistance and repatriation.  

We can propose the insurance : « Cancellation Contrat Open Evasion » from Europ Assistance – this contract is specific to the National Syndicat of Mountain Leaders and is adapted to our trip profiles. This insurance is optional and has to be chosen at the moment of registration. The insurance price is 6% of the total trip cost (trip, additional services and registration fees). Please note that this insurance is only available to residents of Western Europe. Customers from outside this zone will need to arrange alternative insurance which covers cancellation, medical care and repatriation.

If you think you are already covered, or if you are not eligible for our insurance policy, please send us, before the departure date of your holiday, a liability release letter which mentions your personal insurance guarantees and contact. 

Given the specific nature of our holidays, we cannot be held responsible or financially liable for changes of date, time or itinerary, in particular if these modifications are the result of unforeseen events or circumstances, or weather conditions, which place traveller safety at risk. Participants must follow the advice and directions given by the guide or manager of the trip; we cannot be held liable for incidents, accidents and personal injury resulting from an unsafe personal initiative. 

Acting as an intermediary between customers and providers (carriers, hotels, local agencies, etc…) our agency cannot be confused with our providers who bear their own responsibility. Should your trip dates change due to disruption of air transport, we can in no way be held liable and will ask you to share in the additional costs directly incurred. If we are unable to provide some of the planned services, we will do our best to replace them with equivalent services. Sometimes, if we do not have a choice, we may replace one means of transport with another, one hotel with another, change a route or cancel certain excursions. These exceptional changes will not give the right to any refund or reimbursement; the customer will not be able to refuse the proposed change without a valid reason. 

Any litigation resulting from these terms and conditions will come under the jurisdiction of the commercial court of Rodez (12).
